From zero to your first AI follow-up

This guide walks every new FastFollow user from signup to approving their first AI-drafted follow-up in roughly 10 minutes. You only need a CRM, a calendar, and a sending domain.

  • A Google or Microsoft work email (consumer Gmail and Outlook are also supported)
  • Admin access (or a willing admin) for your CRM — HubSpot or Salesforce
  • A verified sending domain in Resend, or willingness to set one up (~20 minutes)
  • ~10–15 minutes

Create your account

What to do

  1. Open the signup page and either continue with Google or enter an email + password.
  2. Verify your email by clicking the link we send to your inbox.
  3. Pick your tenant name — usually your company name. You can invite teammates later from Settings → Team.
  4. You will land on the onboarding screen, where the next 3 steps live.

Tips

  • Use your work email so contact matching against your CRM works on day one.
  • The free trial includes everything — no credit card, no scope reductions.

Connect your CRM

~3 minutes

FastFollow uses your CRM as the source of truth for contacts and deals. Every AI-drafted follow-up is enriched with CRM context — deal stage, account owner, last activity — and every sent message is logged back to the right record.

Don't have access to your CRM right now? Skip this step and come back. FastFollow will still ingest meetings — CRM enrichment just won't be applied to drafts until you connect.

Connect your calendar

~2 minutes

Connecting your calendar gives FastFollow visibility into upcoming and completed meetings. Once a Meet or Teams meeting ends and the transcript becomes available, FastFollow ingests it automatically.

Send your first follow-up

~3 minutes once a meeting has ended

FastFollow drafts follow-ups automatically the moment a meeting transcript is ingested. You don't schedule anything — just hold your meeting and a draft will appear in the approval inbox.

What happens automatically

  1. You take a meeting on Google Meet (or Microsoft Teams).
  2. When the meeting ends, the transcript is saved to Drive (Meet) or Teams (Microsoft).
  3. FastFollow detects the new transcript within ~60 seconds.
  4. The AI extracts action items, next steps, and decisions, then drafts a follow-up email enriched with CRM context.
  5. The draft lands in your approval inbox with a notification.

What you do

  1. Open the approval inbox.
  2. Read the draft. Edit if needed — tone, recipients, attachments.
  3. Click Approve. FastFollow sends through Resend and logs the activity to your CRM.
  4. Watch the delivery status update on the right rail as Resend confirms delivery, opens, and clicks.

No meeting to test with yet?

Use the manual transcript upload at /inbox → "Upload transcript" to paste any meeting transcript and trigger the same generation pipeline. You'll get a draft in seconds.

Troubleshooting

The most common issues new users hit, and how to fix them

"My calendar connected but no meetings show up"

FastFollow only ingests meetings that have a Google Meet or Microsoft Teams conferencing link. If your meetings happen on Zoom, install the Zoom integration as well. Also confirm the meeting was on the calendar of the user who authorized FastFollow — not a teammate.

"AI drafts are not appearing after my meeting ended"

Drafts only generate after a transcript is available. For Google Meet, transcripts are saved to the host’s Drive 1–5 minutes after the meeting ends. For Zoom, you need cloud recording with transcript enabled. Check the Inbox view for transcript ingestion status.

"The follow-up is good but the tone is off"

Go to Settings → AI Preferences to set tone, length, and signature defaults. Drafts respect per-deal overrides if you set them in the Opportunity Room.

"My CRM contact does not match"

FastFollow matches by email address. If the meeting attendee’s email differs from their CRM email, manually link the contact from the draft’s "Contact" picker. Once linked, the system remembers for future meetings.
